Unified Defense is seeking a dedicated Safety and Training Specialist to support the development and implementation of safety and training programs throughout the organization. In this role, you will work closely with Human Resources and the CEO to ensure a safe workplace, maintain compliance, and promote continuous employee development.

What You’ll Do: 

Safety Program & Processes

  • Assist in creating and updating safety policies, procedures, and guidelines in accordance with OSHA and other relevant regulations. 
  • Conduct periodic safety checks, audits, and risk assessments  
  • Conduct and Support incident and accident investigations, helping to identify root causes and implement corrective actions. 
  • Coordinate emergency drills and maintain records of safety equipment and certifications. 
  • Serve as the primary representative for all workers’ compensation claims, acting as the liaison between employees, medical providers, and insurance carriers. 
  • Accompany or arrange transport for employees to hospitals, doctor appointments, and other medical facilities as needed, ensuring timely care and accurate reporting. 
  • Maintain thorough documentation and communication regarding claim status, follow-up care, and return-to-work programs. 
  • Collaborate with HR and management to facilitate light-duty assignments or modified schedules when appropriate. 

SOP & GemaDocs Administration

  • Collaborate with various departments to ensure SOPs are accurately documented, maintained, and updated within the GemaDocs system. 
  • Track SOP revisions, gather approvals, and maintain a clear audit trail of all changes. 
  • Provide user support and training on GemaDocs, ensuring employees understand how to access and follow current SOPs. 

Training & Development

  • Develop and schedule training sessions (e.g., safety orientations, job-specific safety modules) as directed by operations.  
  • Maintain the training matrix to monitor employee training requirements, due dates, and completion statuses. 
  • Prepare training materials, presentations, and handouts to facilitate effective learning experiences. 
  • Gather feedback from trainees and recommend improvements to enhance training impact. 

Compliance & Documentation

  • Stay informed about updates to safety regulations and industry best practices; share insights with management. 
  • Keep accurate, organized records of all safety inspections, incident reports, and training activities. 
  • Assist in preparing compliance reports or documentation for regulatory agencies when needed. 

Culture & Communication

  • Promote a culture of safety and continuous improvement by communicating guidelines, recognizing positive safety behaviors, and addressing concerns promptly. 
  • Serve as a point of contact for employees seeking information on safety protocols or training opportunities. 
  • Participate in safety committees and attend cross-departmental meetings to stay aligned with organizational goals. 

ISO Compliance & Facilitation

  • Oversee and ensure compliance with ISO 9001 or other relevant ISO standards within the organization. 
  • Assist in preparing for ISO audits, including maintaining proper documentation, tracking corrective actions, and working with internal teams to meet certification requirements. 
  • Conduct internal audits and work with department heads to improve and align processes with ISO standards. 

Cross-Functional Collaboration

  • Work with HR on new-hire onboarding and integrate safety training into the overall employee development plan. 
  • Collaborate with supervisors, production leads, and other stakeholders to address department-specific safety and training needs. 
  • Provide administrative and logistical support for safety-related projects and events. 


 

Who You Are: 

  • Associate’s or Bachelor’s degree in Occupational Safety, Human Resources, or a related field preferred; equivalent experience will be considered. 
  • 3+ years of experience in a safety, compliance, or training-focused role, ideally in a manufacturing or industrial environment. 
  • Basic knowledge of OSHA regulations and safety practices. 
  • Familiarity with document management systems (e.g., GemaDocs) and training matrix tools is a plus. 
  • Strong organizational skills, with the ability to track multiple projects and deadlines. 
  • Excellent communication skills, both written and verbal, with an ability to present training materials effectively. 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint). 
  • Relevant safety or training certifications (e.g., OSHA 10/30-hour, Train-the-Trainer) is a plus. 
  • Experience in mid-sized organizations or fast-paced operational settings.
