Manufacturing Systems Specialist

The Manufacturing System Specialist supports efficient production execution by developing, maintaining, and validating ERP job data, production routings, and material requirements while assisting with quoting activities for new and existing products. This role serves as a critical link between customer engineering, production, supply chain, and accounting to ensure accurate job costing, timely shipments, and reliable manufacturing data throughout the production lifecycle.

What You’ll Do:
ERP Job Creation & Production Support
- Create and release production jobs in the ERP system from customer sales orders, including manufactured part numbers, quantities, due dates, routings, bills of material, and special manufacturing instructions.
- Develop, maintain, and validate routings and work instructions to ensure accurate labor standards, material consumption, and job costing.
- Allocate and issue raw materials and components to production jobs within the ERP system; verify material availability and accuracy prior to job release.
- Print and maintain ERP travelers and job packets for production, incoming materials, and finished goods. Document and manage serial numbers as required.
Job Costing, WIP, and Data Accuracy
- Review and reconcile labor and material transactions to production jobs; investigate and correct discrepancies in coordination with production supervisors and accounting.
- Ensure scrap and rework labor and material data are accurately captured prior to daily or weekly WIP reconciliation (Epicor note: corrections cannot be made after capture).
- Communicate scrap replacement needs, and job variances with quality, inventory control, and purchasing to minimize production disruption.
- Support RMA coordination with vendors for nonconforming material and assist with root cause documentation as required.
Shipping, Inventory, and Order Fulfillment Support
- Prepare and review shipping documentation for outbound orders, including packing lists, bills of lading, shipping labels, and carrier paperwork using ERP data and carrier systems (e.g., UPS/FedEx).
- Confirm shipments in the ERP system, update or close production jobs as needed, and ensure finished goods inventory and shipping records are accurate and timely.
- Track shipment status, coordinate pickup times with carriers, and support communication of shipping details, discrepancies, or delays to internal teams and customers.
Quoting & Cost Estimation Support
- Assist with quoting requirements by developing accurate cost estimates for labor, material, overhead, and outside services for new and revised products.
- Validate manufacturing feasibility, routings, cycle times, and material assumptions used in customer quotations.
- Support planning and sales teams by identifying cost drivers, efficiency opportunities, and risk factors impacting pricing and lead times.
- Maintain historical costing data and lessons learned to improve quote accuracy over time.
Continuous Improvement & Cross-Functional Collaboration
- Support continuous improvement initiatives by identifying opportunities to improve data accuracy, workflow efficiency, and production consistency.
- Collaborate with production, quality, supply chain, and accounting teams to resolve manufacturing, costing, and data integrity issues.
- Ensure compliance with company safety, quality, and documentation standards.
Who You Are:
- High School Diploma or equivalent
- Hands-on experience with ERP systems (e.g., Epicor, SAP, Oracle, NetSuite, or similar), including job creation, routings, BOMs, material transactions, and costing.
- Understanding of manufacturing processes, work orders, bills of material, and job cost accounting.
- Experience interpreting production data and translating it into accurate ERP records.
- Strong attention to detail and commitment to data accuracy.
- Analytical skills for cost estimation, variance analysis, and process evaluation.
- Effective communication skills to work across engineering, production, purchasing, logistics, and accounting.
- Strong organizational and time-management skills in a fast-paced manufacturing environment.
- Proficiency with ERP systems, Microsoft Excel, and document control systems.
- Commitment to safety, quality standards, and continuous improvement.
